Meeting with and assisting the incoming Presidents, before the
beginning of the Rotary year to review the Club Leadership Plan,
discuss club goals and review the Planning Guide For Effective
Rotary Clubs and Club 'Failure to Function'.
Attending
each Club assembly associated with governor’s official
visit.
Visiting
each club regularly, preferably monthly with a minimum of one
visit each quarter of the Rotary year and meeting the club President
and other club leadership to discuss the business of the club,
resources available to them and handling of club funds in a
business like manner.
Assisting
club leaders in scheduling and planning for the governors official
visit.
Keeping
the governor informed of the progress of the club suggesting
ways to enhance Rotary development and addressing problems.
Encouraging
clubs to follow through on the governor’s requests and
recommendations.
Coordinating
club-level training with appropriate district committee.
Promoting
the district’s leadership plan and the club leadership
plan.
Advising
the incoming governor an district committee selection.
Attending
and promoting attendance at the district conference and other
district meetings.
Participating
in district activities and events, as necessary.
Attending
club meetings, assemblies on events, as invited.
Participating
in the district team training seminar (DTTS).
Attending
the presidents-elect training seminar and the district assembly.
DISTT. SECRETARY GENERAL :
Promote
all Distt. functions through at least one circular and telephone
calls/e-mail.
Help
collect all information for Directory/ GML
Help
to organise Distt. functions.
Attend
all District Functions.
keep
minutes of all Distt. functions & meetings.
Help
and support in publication of Directory & GML
Visit
the Distt. Secretariat to file & compile all club reports
and discuss with DG and other Secretaries as necessary.
DISTT.
SECRETARIES :
Attend DTTS and all District Functions.
Promote
the area of activity assigned, amongst club president & concerned
committee chairman.
Help
in arrangement of District Functions.
Achieve
the District Goals in their area of activity.
Promote
Rotary Foundation & Membership Development.
Support
all the District Functions.
CLUB
PRESIDENT :
Appoint
Club Committee Chairmen and members who are qualified for the
jobs assigned and make certain that each committee has definite
objectives and is functioning consistently.
Hold
regular club assemblies, the first as soon as possible after
the appointment of committees.
Attend
PETS and District Assembly.
Possess
working knowledge of the club constitution and bye-laws.
Preside
over the meetings of the club and see that each is carefully
planned, opened and adjourned on time.
Preside
at regular meetings (at least once a month) of the board of
directors.
Attend
the District Conference and also see that the club is well represented
at the Conference.
Co-operate
with the Governor in various club and District Rotary matters
and handle all correspondence promptly.
Supervise
the preparation of a club budget and the proper accounting of
club finances, including an internal audit.
See
that written reports by the various committee chairmen are presented
to the Governor on the occasion of his official visit to the
club.
Couduct
a seminannual check up in January on all committee activities
and objectives for the balance of the Rotary year.
Arrange
a joint meeting of the incoming and outgoing Boards of Directors
for the dual purpose of getting the new administration off to
a good start and providing countinuity of club administration.
CLUB SECRETARIES :
Keep
the records of membership.
Record
the attendance at meetings.
Attend
SETS and District Assembly.
Send
out notices of the club, board and committees.
Record
and preserve the minutes of meetings.
Send
the required reports to Rotary International including the semi-annual
reports of membership, prorata reports, the report of change
in membership, the monthly report of attendance at the club
meetings which shall be made to District Governor immediately
following the last meetings of the month.
Collect
and remit to Rotary International subscriptions of ‘The
Rotarian’ or ‘Rotary News’.
Possess
a working knowledge of the constitution and bye-laws of the
club.
